What is the Club Safeguarding Champion?

​​​​​​​The Safeguarding Champion’s role is to ​​​​​​​champion good practice and manage the vetting process within their club including verifying the identity of the individuals being vetted and accessing the NZF Police Vetting System to view the vetting results for their club/football service provider. They will be required to register as a club Safeguarding Champion in the NZF Police Vetting System and undertake training as part of the registration process.

Register as a Club Safeguarding Champion​​​​​​​​​​

Complete the Club Safeguarding Champion registration process by heading to https://safeguarding.nzfootball.co.nz/ and clicking the request access link.

The registration process will take Club Safeguarding Champions through their role in the NZF Police Vetting process and the responsibilities of a Club Safeguarding Champion before submitting details.

The Federation Safeguarding Advisor will receive the request for access, check with the club to confirm access should be granted and approve the registration.

POLICE VETTING PROCESS

Once their registration application has been approved, they can start requesting individuals from their club to complete the NZF Police Vetting Form.​​​​​​​

After an individual completes a police vetting submission an email notification is sent to all Club Safeguarding Champion related to that individual. The email will contain a link that directs Club Safeguarding Champions to complete the ID verification.

Once the Club Safeguarding Champion has viewed two forms of identification in person, they will click the link contained in the email. This takes them to the ID verification page where they click to verify, complete the ID details and save to complete.

Following this, NZF will make vetting submissions to the New Zealand Police. If the vet is returned with no result, this will be updated to 'Complete' in the system, and the Club Safeguarding Champion will receive an email confirmation.​​​​​​​

USING THE POLICE VETTING SYSTEM

Club Safeguarding Champions will also be able to log into the NZF Police Vetting System to monitor their Police Vetting Submissions.

The system uses a Magic Link method to log-in so there is no need to remember a password. The user will just enter their email and be sent an email to log-in to the application.

After logging in, Club Safeguarding Champions will see their full list of vetting submissions and be able to filter by status. Below is a list of the different statuses and their meanings:


Incomplete = The individual has entered their details but did not complete the full submission process.

Submitted = The individual has submitted their details and agreed to be police vetted.

Verified = The Club Safeguarding Champion has verified two forms of identification for the individual.

Pending = The vetting application has been submitted to NZ Police and is now pending the result.

Complete = The vetting result has been returned and the process is complete.


Safeguarding Champions will also see a 'Current Verified Count'. Bulk vetting requests require a minimum of 50 individual vetting submissions. Only submissions in 'Verified' status can be part of the next request so this count gives an indication of how far away the next bulk vetting request will be. Please note that requests may not be submitted until the verified total is at 50.
